The RBC Dominion Securities branch located in Kelowna is seeking a Client Experience Associate to deliver concierge level service for a successful Chairman Council Advisory team and their valued clients.


This role will require you to be well-organized, resourceful, proactive, have great time management skills, and be able to act independently to resolve complex issues. In addition, you will contribute to the efficiency of our business by providing personalized and timely support to your Chairman Council Advisor and our high value clients by offering back up administrative support to the team.

Executive Assistant Duties:

  • Managing information flow in a timely and accurate manner by assisting with your Advisor's inbox to re-direct requests to team members, respond to email requests, facilitate the request for the scheduling of meetings etc.
  • Proactively managing your Advisor's calendar, keeping a line of sight of the team's calendar to prepare meeting rooms for the flow of in-person client meetings.
  • Monitor and manage stock levels of office supplies and refreshments.
  • Assist in formatting team memos, emails, presentations as well as answering incoming calls and redirecting to appropriate team members.
  • Book ad hoc meetings, ordering impromptu surprise and delight gifts (i.e. Anniversary flowers/gifts, client birthday, thank you, and sympathy cards etc.)
  • Oversee client events with support of Advisor and the team's Marketing Assistant.
  • Seasonal planning - oversee collection of team photos, team messaging, ordering and distribution of client Christmas letter etc.
  • Other ad hoc duties as required.

Client Experience Assistant Duties

  • Enhance the client experience from onboarding to year-round contact so that it is consistently smooth and on-track with the team's client service plan.
  • Coordinate (scheduling) and prepare meetings for Advisors with their clients/prospects.
  • Provide proactive client service with a focus on problem resolution and attention to details. Liaise with various departments for execution, where necessary.
  • Respond to client inquiries (account transactions, requests for tax receipts, account reporting, etc.).
  • Help manage incoming communications from clients, Advisors, and other internal and external partners.
  • Back up support to team Marketing Assistant to help update team's communication channels: websites, LinkedIn, Facebook, brochures, newsletters.
  • Support Advisor team and client through the Wealth Management process and maintain audit of Wealth Management Activities and priorities.

What do you need to succeed?

Must-have

  • Minimum of 2 years of relevant experience in banking, financial services, or wealth management.
  • Strong Microsoft Office Suite skills
  • Demonstrated skills in providing world-class client service that will come across as professional, warm, and friendly to our clients
  • Exceptional verbal and written communication skills

Compensation for this position (including salary and discretionary/variable incentive payments) will be determined by factors, including but not limited to the candidate's experience, skills, registration status, performance, individual goals; market conditions; and business needs.

The expected base salary range for this position is $37,500 - $45,000.

This position may be eligible to receive a discretionary/variable incentive payment up to 1.0x base salary.
